Need a preceptor fast: a short-runway plan for APU students

How much runway you really have

Count backward from the first day of your clinical session. APU's 2023-24 MSN Advanced Practice Guidelines direct students who line up a new preceptor to tell the placement coordinator 6 to 8 weeks ahead of the semester, time APU uses to vet that person and set up a liability contract. The table applies that window to the sessions ahead on APU's 2026-27 calendar.

Everything between a yes and your first shift

A preceptor's yes starts the clock. Each step below sits with a different person, and whichever one stalls sets the pace.

1. The preceptor agreesConfirm the course number, the days they can offer and how many hours fit your units this term.
2. You file the requestSubmit the Graduate Preceptor Request form, one per preceptor, with the clinic's legal name, legal signer and office manager contact complete.
3. APU reviewsAPU's Graduate Placement Team reaches out to go over the placement with you and vets the preceptor.
4. The agreement is in placeAn affiliation agreement is required at every APU clinical site, and a clinic lacking a current one adds the longest wait.
5. Facility onboardingSome facilities run their own onboarding, such as MyClinicalExchange; APU's hub says those facility fees are invoiced to the School of Nursing.
6. Written clearanceYou report only after the placement team clears the site in writing. Hours logged before that are removed from Medatrax.

Why the affiliation agreement decides your timeline

APU requires an affiliation agreement for every clinical site and warns that arranging one takes time, above all for an organization without a current one. APU publishes no fixed number of days, so on a short runway the practical question is simple: does this clinic already have one?

Published health-system rules show why it matters. Scripps Health says setting up an agreement takes 6 to 8 weeks, Kaiser Permanente Southern California asks schools to request placements at least three months ahead, and UC San Diego Health says a new agreement can take about 6 to 12 months. None of those pages mentions APU, and none means a site will accept a particular student.

Clear compliance while the search runs

Even a fast match waits on your compliance file. APU students keep their requirements in CastleBranch, except at San Diego, which uses Complio, and CastleBranch says reviewing a document may take 7 to 10 business days. For Fall 2026, the deadline for clinical placement requirements was August 1, 2026.

Close these out now

• The SON Student Handbook acknowledgement, uploaded to CastleBranch or Complio
• The Student Data Questionnaire, submitted or updated for this semester
• The 2026-27 training modules taken in Canvas, with certificates uploaded (Implicit Bias needs no upload)
• California RN license, American Heart Association BLS, TB screening and immunizations current through the term
• The background check finished before placement, plus a drug screen only if the site asks for one

Where to look when the clock is short

APU's own request form hints at what works: it asks whether you found the placement through someone you know personally, a cold call or a contact from work. On a tight timeline, start with people who already know your work.

Your employer can be an option if it puts a division of labor in writing and signs it, you are unpaid during clinical time and the placement sits outside your own unit. Relatives and close friends are ruled out. FNP students still owing pediatric hours can use a family practice that sees at least six pediatric patients a day.

Be ready to drive. APU's guidelines rank fit for your level and patient population above distance, describe drives of one to two hours each way as normal and note that Saturday and evening clinicals are scarce. Our guides to each Southern California region show the clinics near every APU campus.

If the term starts without a cleared site

Tell your placement coordinator and advisor in writing as soon as the start date looks at risk, and keep searching. APU's guidelines give a student who cannot be placed until the first third of the semester to start a drop, and staying enrolled without a site brings failing grades in both the clinical and the didactic course. Resist any pressure to begin informally. A clinic that says come in Monday before APU's written clearance arrives is offering hours that will not count, and an unapproved site can create a bigger problem than a late start.
