Behind on clinical hours as the APU term winds down

Measure the gap first

Start with arithmetic. APU's clinical units work out to 45 hours each, so the units on your schedule give the term's target. Set that target against your Medatrax total and the weeks left in your session, and you will know whether you are slightly behind or facing a gap no schedule can close.

FNP and AGPCNP students take GNRS 600 2 to 6 units per term once faculty sign off, each PMHNP population course carries 135 hours, and APU's request form lists 180 hours for each CNS course. Your syllabus sets the exact target, and our 45 hours per unit guide explains the ratio.

Why cramming the final weeks backfires

APU's 2023-24 guidelines say hours are to be spread through the term rather than bunched at the start or end, so a sudden jump to four clinic days a week in the last month can raise questions instead of closing the gap. The same guidelines rule out working overnight right before a clinic day, which limits how many clinic days you can stack around a hospital job. The rotation rules page covers each rule.

Your preceptor matters here too. APU treats the preceptor's evaluation as a floor: dropping under it in any category leads to a remediation plan with clinical faculty. Long, crowded days late in the term make it harder to show your best work at the moment it is being judged.

Raise it with your clinical faculty now

The sooner faculty hear about a shortfall, the more options they have. An Incomplete needs your professor's recommendation, so a conversation in week ten is worth far more than one in the final days. Bring your Medatrax total, the hours still owed, the reason for the gap and the days your preceptor can realistically offer.

Keep the Medatrax log current while you talk. Under APU's guidelines, skipping weekly entries can trigger an academic warning, and an accurate log shows faculty exactly where you stand. If the shortfall came from a site problem, such as a preceptor on leave or a clinic that stopped taking students, say so plainly, because APU's rules treat problems outside your control differently from a schedule that slipped.

How an Incomplete works for missing hours

APU's catalog reserves the Incomplete for special circumstances. Your professor recommends it, a chair or dean approves it, and you submit the online Incomplete Form ahead of the course's final day, naming the grade that applies if the work stays unfinished. The extension lasts up to 12 weeks past the term, and a petition can add one more extension of the same length.

For clinical hours, the hard part comes after the paperwork. The missing hours still need an approved preceptor at a cleared site, logged weekly in Medatrax, before the extension ends. APU's student hub adds that when hours are missed because a student cannot meet a clinical partner's onboarding rules, APU makes no promise they can be made up that semester; the student may receive an incomplete or be asked to withdraw, then maps a new progression plan with the Department Chair.

Why a failed clinical course costs more than a grade

Ending a clinical course with a failing grade is the most expensive outcome. APU's guidelines say hours earned in a failed course are not carried into the repeat, so every hour starts again. Older guidelines set B- as the passing grade in MSN theory and clinical courses, and a master's student whose cumulative GPA falls below 3.0 goes on probation with one enrollment period to recover.

APU's graduate policy allows up to three attempts at a course, and programs can set a lower limit. Withdrawal is the other exit: in the first two-thirds of the term you can withdraw with a W and no grade penalty, which for Fall 2026 means November 5 for 16-week courses and November 24 for 8-week session 2. Adding hours the right way

Catching up is realistic when the gap is modest and the plan follows APU's rules. These are the moves to raise with faculty before you schedule anything.

• Ask your current preceptor for extra regular days spread across the remaining weeks, and confirm with faculty that the new pattern fits the no back-loading rule.
• Add a second preceptor at another cleared site. Each preceptor gets their own request form, so a second one means new paperwork and written clearance before any hour there counts.
• Target what you still owe, such as a family practice with a steady pediatric caseload (APU counts six or more pediatric patients a day) for FNP pediatric hours.
• If the gap will spill into next term, ask now about next term's load; APU's guidelines require director or chair approval for extra clinical units because preceptors and placement resources are shared.
